Deactivated users

As an administrator, when you create users in the admin portal, they are automatically pulled into the contacts list of each Ringotel app user. Thus, team members can see the real-time presence of each colleague and call or message them in a few taps. This is convenient because your team members don’t need to create each contact manually or remember the extension numbers of their colleagues to reach them.

In addition, for those employees who are not using Ringotel softphones, but who registered to the PBX with an IP Phone or a third-party softphone, Ringotel allows auto-provisioning of BLF contacts by creating deactivated users.

Activated vs Deactivated

Activated

Regular users can register with the Ringotel apps and use all the calling and messaging features available in the subscription plan.

Each billing cycle, we charge your account according to the number of activated users.

Deactivated

They can’t use Ringotel apps, therefore, we don’t charge for deactivated users.

Their purpose is to make it easier for your team members to communicate with colleagues even if they are not using Ringotel.

How does it work?

Both activated and deactivated users are created in a similar way. As an administrator, you can either create each user manually or import them altogether from a CSV file.

To create a new deactivated user:

  1. Go to the organization dashboard and click + Add user.

  2. To create a deactivated user, make sure that the Activated slider is turned OFF.

  3. Fill in all required fields as described in Adding users, except that for deactivated users you can simply specify Display name and PBX extension.

While the rest of the fields are not necessary, they may be required when attaching deactivated users or activate them later on.

To import users:

  1. Navigate to an organization and click Import users.

  2. Choose a CSV file in the required format (see CSV file format for importing users for details).

  3. Click Next.

  4. In the provided list of users, unselect Activate checkbox for those who need to be created as deactivated users. Use Activate/Deactivate all for quick selection.

  5. Click Import button.

Activate a user

When the users are created, only activated users can then register with Ringotel apps. You can activate a user anytime, by clicking Activate icon on their record in the admin portal.

Please provide valid SIP credentials before activating users, as they need to be able to register on their PBX extensions.
